Email signature examples that actually work

Four lines, one link, no quotes, no pixel. Copy the examples, keep the legal block separate, and mind the text to image ratio.

A working email signature is four lines: your name, your role and company, one link, one way to reach you. Everything past that is decoration, and some of the decoration actively costs you deliverability.

This piece gives you copy-ready examples for the common roles, the design rules we would defend, the legal lines Germany and the UK genuinely require, and the part signature articles skip: what a heavy signature does to your text to image ratio. A signature is the last mile of business email setup; DNS and authentication get the message delivered, and these four lines decide how it lands.

The four line rule

Name. Role and company. One link. One way to reach you. Stop.

Every line you add competes with the four that matter, and recipients decide in about a glance whether the block under your message is information or wallpaper. The one legitimate exception is regulated disclosure: German and UK companies have statutory lines to include, and the right answer is a visually separated small-print block under a four-line signature, covered at the end of this article. What is never the answer is an eleven-line signature with two logos, six social icons, and a quote about teamwork.

What makes a professional email signature: the examples

Copy the structure, swap the details. Every example here is fictional.

The founder. Sign short; the authority comes from the domain, and a founder with a modest signature reads as confident.

The design rules

No image-only signatures, ever. A signature rendered as one picture is invisible to screen readers, missing from the plain-text version of the message, blocked wherever remote images are off by default, and uncopyable when someone wants your phone number. If you must have the logo, keep it small, give it alt text, and keep every word as live text.

No inspirational quotes. This is a stance, and we hold it without apology: a quote in a business signature reads as filler at best and as a personality substitute at worst. The recipient wanted your phone number.

One accent color, and only on the link. Two colors is a brand guideline escaping into a text message.

Cut the social icon row. Each icon is a remote image plus an outbound link, which multiplies the clutter and the things that can render broken. Keep the one link that matters for your role: the site, the booking page, or the portfolio.

Pronouns are fine and cost one short addition to the name line. Credentials belong only where they close business: law, medicine, accounting, engineering stamps. An MBA in a signature outside those fields is a quote in disguise.

The deliverability angle nobody covers

Spam filters score the ratio of text to images in a message, which is why our own sending rules set a floor of 60:40 text to image and bar image-only campaigns outright. Signatures interact with that math in a way almost no signature article mentions: the message body shrinks, the signature does not. A two-line reply under a signature with a fat logo and six icons is, by pixel area, mostly image. Send a dozen of those in a thread and you are consistently producing the image-heavy short-text shape that filters distrust. It is one of the quieter reasons mail ends up in spam.

Tracking pixels deserve their own paragraph. Sales plugins that report "opened your email" work by inserting a remote one-pixel image into each message, signature-adjacent, and in 2026 the data they return is mostly noise: Apple Mail Privacy Protection has auto-fetched images on Apple's schedule since iOS 15 in 2021, inflating opens, and Gmail serves images through its own proxy, blurring device and location. Meanwhile corporate security gateways flag exactly this pattern. You are trading recipient trust for a metric that no longer measures anything. Our position, and how we score our own sending: drop the pixel in 1:1 mail and count replies. Replies are also the signal mailbox providers weight above everything else, so the honest metric and the reputation-building one happen to be the same.

If your signature does carry a logo, host the image on your own domain rather than a third-party host or shortener; the links and assets in a message should agree about who sent it.

Plain-text signature discipline

Well-formed mail carries an HTML part and a plain-text part in one multipart/alternative message; we send a real text part on every campaign as policy, and your 1:1 mail should hold the same standard. That means your signature needs a plain-text twin, not just whatever your HTML collapses into.

Two conventions make a plain-text signature correct. First, the separator: a line containing exactly two hyphens and a space, "-- ", marks where the message ends and the signature begins. The convention is codified in RFC 3676 (section 4.3, 2004), and clients that honor it, Thunderbird among them, use it to strip your signature from quoted replies automatically. Get the trailing space wrong and the magic stops working. Second, keep lines under 72 characters so nothing wraps on narrow terminals and phones.

That is the entire discipline, and it is the difference between plain-text mail that looks deliberate and mail that looks scraped.

What to legally include, by region

United States. The CAN-SPAM Act (2003) governs commercial email: marketing mail needs a valid physical postal address and a working unsubscribe. Ordinary 1:1 business correspondence is not commercial email under the act, so a US signature has no legally mandated contents. The four line rule is all yours.

United Kingdom. The Companies (Trading Disclosures) Regulations 2008 require a company's registered name on its business emails, and where an email does the work of a business letter, the disclosures extend to the place of registration, the registered number, and the registered office address. That is precisely the small-print block in the UK example above. The rules bind registered companies; a sole trader emailing under their own name has no equivalent duty.

Germany. The strictest of the three. Since the EHUG amendments took effect on 1 January 2007, business emails count as business letters under the disclosure provisions of German commercial law (HGB section 37a; GmbHG section 35a for the GmbH), so every outward business email must state the full registered company name with legal form, the seat, the register court and number, and, for a GmbH, the managing directors. German commentary is explicit that a link to your website's Impressum does not satisfy the duty: the details must appear in the mail itself.

Ship it

Write the four lines now, in plain text first. Add the HTML version with one link and one color, and the statutory block if your registry demands it. Then delete the quote, the icon row, and the pixel. Your signature's job is to make the next step obvious for the person reading it, and four lines do that better than eleven.
